Official company and property records in Greece
Greece maintains public records across several families – companies, real property, insolvency, security interests, notarial acts and tax registration – each governed by its own access rule. Most can be reached by a foreign applicant through a licensed registered agent rather than a direct portal login. Beneficial ownership, informal charges and undigitised history sit outside every one of them.
The registers present
Several layers of record cover a company, a plot of land, a court proceeding, a security filing, a notarial act and a tax status in Greece, and each layer answers a different question. A search across one of them says nothing about the others. A corporate secretary who treats the Greece company register as a single source usually meets the first access barrier on the second register, not the first: a resident login or a local electronic signature.
The companies register is the family most foreign applicants reach first. Registered name, registration number, legal form, registered office, share capital, current directors or administrators, filing history: these are the fields of a Greece registry extract from this register, reproduced as filed rather than summarised. Later filings sit as additional entries against the same file. A company search Greece applicants complete themselves covers this family only. The access regime for this register, and whether a foreign applicant can order a certified extract without a local step, is being confirmed against the primary source.
The land and property register works from a different key. Parcel reference, registered owner, registered charges, servitudes, boundary references: these attach to the property, not to the company that owns it. A company holding land in Greece does not show that holding on its own corporate extract, and the route to it is a search against the property reference. Whether that search is open to a foreign applicant directly is being confirmed against the primary source.
Insolvency and court records form a third family. Case reference, parties, type of proceeding, date of opening, office-holder where one is appointed: these are the fields of an insolvency entry. A court file holds the filings and orders of one case in one court. Neither family states whether a company is solvent in any forward-looking sense; each records what was filed and when.
Security interests over movable assets and over receivables sit on a charges record kept apart from both the companies register and the land register. Secured party, debtor, asset class, date of registration: the fields are narrow by design. Whether the charges record in Greece is searchable by debtor name from abroad is being confirmed against the primary source.
Notarial acts form a fifth family. Incorporation deeds, amendments to the articles, share transfers in certain legal forms, powers of attorney: each is drawn up before a notary and held in that notary's archive. A certified copy is obtained from the notary or the archive that holds it, not from the companies register, and the route is being confirmed against the primary source.
Tax registration status is the sixth. Tax identification number, registration date, current status: a confirmation of this kind states whether an entity is registered for tax purposes, without turnover, liabilities or filing history. Whether a third party can obtain this confirmation for an entity it does not control is being confirmed against the primary source.
Above all six sits a document-authentication layer. An apostille attaches to a document already issued by one of the registers; it certifies the signature and seal of the official who issued it, and nothing about the accuracy of the entry. Access to each family is set independently, and the practical position for a foreign applicant is confirmed family by family rather than assumed across public records Greece maintains as a whole.
What the Greece registers do not show
None of the six families discloses the ultimate beneficial owner in the ordinary course of a search. A shareholder of record or an administrator appears on the corporate file; the natural person controlling that shareholder through a chain of entities does not. Where a beneficial ownership record exists for Greece, its access regime is being confirmed against the primary source, and it is expected to be narrower than the companies register.
None of them states solvency. An insolvency entry shows that a proceeding was opened; a clean search shows that none was recorded in the period searched. Neither is a statement that the company can meet its obligations tomorrow, and the registers do not carry a field for it.
Informal charges leave no entry. A pledge never registered, a retention-of-title clause in a supply contract, a personal surety given to a lender: these sit in private documents, not on any public record. A clean charges search confirms the absence of a registered charge, not the absence of security.
Undigitised history is a structural gap. Where a register was migrated to its present system, entries from before the migration may sit on paper or on a closed file and fall outside a name-based search. Whether, and from what date, each Greek register is searchable by its current key is being confirmed against the primary source.
Personal data on a director or an administrator is limited to what the record requires: name, role, date of appointment. A home address, a date of birth or a national identifier is not expected to appear unless the register states otherwise. A Greece certified document confirms what the register held on the day it was issued. It does not confirm that the position is unchanged on the day it is read.
How Greece records are used abroad
A receiving party outside Greece – a bank, a foreign registrar, a counterparty's compliance team, a tender body – usually asks for the document in a form it recognises. Original or certified copy, apostille, certified translation: the three usual components, and the receiving party chooses which of them it needs.
An apostille certifies the signature and the seal on the document. It does not certify that the content of the document is accurate or current, and a receiving party that reads it as a statement about the company is reading more into it than it carries. Where the receiving jurisdiction is not a party to the same international framework used for apostilles, a further legalisation step is added, and the route for that step is being confirmed against the primary source.
Language is the second component. Documents from the Greek registers are expected to be issued in Greek. A receiving party working in English usually asks for a certified translation attached to the original, not in place of it. The translation step is the one most often left out of a filing timetable.
Age is the third. One receiving party accepts a Greece registry extract issued some months earlier; another asks for one issued within a short window before the filing. The rule sits with the receiving party, not with the register, and REGISTRUM confirms it before the document is ordered rather than after it arrives dated too early.
None of this is decided by REGISTRUM; the receiving party sets the rule, and the rule is confirmed first.
Access barriers a foreign applicant meets
The first barrier is the resident login. Several online services in Greece are built around credentials issued to residents and locally registered entities, and an applicant without them cannot open an account to search or to order directly. Whether each register offers an alternative route for a foreign applicant is being confirmed against the primary source.
The second barrier is the electronic signature. Even where a search is open, downloading a certified copy can require a signature format issued only within the country. The third barrier is language. A register interface built for a domestic user does not always carry an English version.
The fourth barrier is the notarial archive. A certified copy of a deed held by a notary is released on request to the notary, not through a portal, and a request from abroad is handled through a local representative. The route that remains open across all four runs through a licensed registered agent in the jurisdiction, who holds the local means of access and submits the request on the applicant's behalf. This is the route REGISTRUM uses where direct access is confirmed absent.
Which register holds company records in Greece?
The companies register holds the incorporation record of a legal entity registered in Greece: registered name, registration number, legal form, registered office, directors or administrators and filing history. Land, charges, insolvency, notarial acts and tax status sit on separate records with separate keepers. Which office issues each certified extract, and on what terms, is being confirmed against the primary source.
Can a foreign applicant obtain documents from Greece directly?
For some families a direct request may be possible; for others, a resident login or a local electronic signature is expected, and the position for each is being confirmed against the primary source. Where direct access is not open, REGISTRUM routes the request through a licensed registered agent in the jurisdiction, who submits it and returns the certified document.
What is not recorded in the Greece registers?
None of the Greek registers discloses a company's ultimate beneficial owner in an ordinary search, its forward-looking solvency, informal or unregistered security, or a director's personal details beyond name and role. Entries from before a register's last system migration may also fall outside a search by the current key.
How long does it take to get a certified document from Greece?
Turnaround depends on which register is involved, whether the request routes through a licensed agent or a direct service, and whether a translation or an apostille follows. REGISTRUM confirms the expected timeline for the specific document and register before an order is placed, rather than quoting one figure for every family.
Does a Greece registry extract need an apostille to be used abroad?
Most receiving parties outside Greece ask for an apostille on a company or property record before accepting it; some accept a certified copy alone. The apostille certifies the signature and seal of the issuing office. It does not certify that the content is accurate or still current on the day it is read, and it does not translate the document.
Is company search Greece possible without visiting the country?
A remote search is expected to be possible for the companies register and is being confirmed for the others; the position varies by family and is checked against the primary source. Where a remote search is not open to a foreign applicant, a licensed registered agent completes the search and returns the result, with the certified document following by the confirmed route.
Tell us the jurisdiction and the record you are after; we return the route, the issuing authority and the limit. If the document does not exist in this jurisdiction or cannot be obtained for you, we say so before you pay and we do not take the order.
