Official company and property records in United Kingdom
United Kingdom holds separate registers for companies, land, charges, insolvency notices and beneficial ownership disclosures. Each covers a different layer of a company or a property, and none confirms the others. A foreign applicant can order some records directly; others route through a licensed registered agent. This page sets out what each layer shows and where the access barrier actually sits.
The registers present in United Kingdom
United Kingdom keeps separate public registers for companies, for land and property, for charges over both, for formal insolvency proceedings, and for beneficial ownership disclosures. Each register is a distinct database with its own scope, and a search of one does not reach into the others. For a foreign applicant, the barrier is rarely the fee: it is a national identifier or an electronic signature the applicant does not hold, and that barrier sits at the point of ordering, not at the point of payment.
The United Kingdom company register carries the incorporation record. Company name. Registered number. Registered office address. Incorporation date. Current officers. Filing history. Annual accounts and the periodic confirmation of registered particulars are lodged here and become part of the public file once accepted. A United Kingdom registry extract drawn from this register shows the company as it stands on the day of the search. It does not show the company as it stood on an earlier date unless that earlier filing is specifically requested and supplied.
Public records United Kingdom maintains are split across these registers rather than consolidated into one file, which is the point most applicants miss on a first attempt. The land and property register records title to registered land, separately from the companies register. Where land is registered, the record names the proprietor, states the class of title granted, and lists any restriction noted against that title. Not all land in United Kingdom sits inside this register. Older holdings can remain outside it until a sale, a mortgage, or another triggering transaction brings the title onto the register for the first time.
The charges register sits beside both of these. Where a lender takes security over a company's assets, or over a specific property, the charge is entered on the charges register rather than folded into the underlying company or land record. A company search United Kingdom returns will show that a charge exists against the company. It will not set out the full terms of that charge unless the charge document itself is obtained separately.
The insolvency register lists formal proceedings once they open, and only once they open: administration, liquidation, bankruptcy notices attaching to an individual acting as an officer or a guarantor. A company with no formal insolvency filing simply does not appear here, and its absence from this register says nothing about its financial standing beyond that one fact.
The beneficial ownership disclosure is the last of these layers and, for most public-record purposes, the least direct. It records who is stated to control the company, by shareholding, by voting rights, or by the right to appoint and remove directors. The disclosure is a statement submitted to the register. It is not independently checked against a shareholder agreement or a bank mandate before it is published, and the register does not claim otherwise.
The exact name of each register, the current fee, and the turnaround for a United Kingdom certified document are being confirmed against the primary source at the time of writing; this page describes the layer, not the current tariff.
What is closed here
No single United Kingdom register links a company, a property and a person into one file. A search that finds a company does not automatically surface the land it holds, and a search of a property does not automatically surface the company that owns it. Each connection has to be built from separate searches, each against a separate register.
The beneficial ownership disclosure records a stated control structure, not a verified one. Where control passes through a trust, a nominee arrangement, or a layer of foreign entities, the disclosure may name only the layer closest to the United Kingdom company and stop there. The register does not trace ownership beyond the layer that the filer chose to disclose.
The companies register does not state whether a company can meet its obligations. A clean filing history and the absence of an insolvency entry show only that no formal proceeding has been opened; they do not show that none will be. The register records events, not forecasts.
The land register does not cover all land in United Kingdom. Unregistered land exists, and no public search converts it into a registered title on demand. A search that returns nothing may mean the land is unregistered, not that no such land exists at all.
Court judgments and gazette notices sit outside the company and land layers entirely, in their own separate record, and a routine company search does not draw them in automatically.
None of these registers records a private agreement that was never filed: a shareholders' agreement kept off the public file, a side letter to a charge, or an unregistered lease. What is filed is public. What was never filed is simply absent, and its absence is not a finding either way.
How documents from here are used abroad
United Kingdom is a party to the Hague Apostille Convention, so a certified document issued from a United Kingdom register can carry an apostille for use in another member state. The apostille certifies the signature and the seal on the document. It does not certify that the content of the document is accurate or complete; that assessment, where one is needed, sits with the receiving party.
A receiving registry, bank or court outside United Kingdom will typically ask for a document that is recent, certified, and in a form it recognises. A plain printout from an online register search rarely satisfies that requirement on its own. A certified copy, issued and stamped by the register or by the body authorised to certify it, is usually what a receiving party means when it asks for a United Kingdom certified document.
Age matters as much as form. A receiving party working to a filing deadline or a closing date will often set its own limit on how old a certified document can be, separately from anything United Kingdom itself requires. A document entirely correct on the day it was issued can still be refused abroad for being presented too long after that date.
Translation is a separate question from certification. A United Kingdom register issues its records in English; whether the receiving party abroad also requires a certified translation depends on that receiving party, not on United Kingdom.
Access barriers a foreign applicant meets
Some United Kingdom registers accept a search or an order from any applicant, wherever the applicant is based, provided the applicant can pay and can identify what is being ordered. Others require a national identifier, an account tied to a United Kingdom address, or an electronic signature that a foreign applicant does not hold and cannot obtain quickly.
Where that identifier or signature is the barrier, the route that remains is ordering through a licensed registered agent in the jurisdiction, rather than through the public-facing search interface itself. The agent holds the access the direct route requires; the applicant does not need to acquire it separately.
The barrier tends to sit earlier than most applicants expect: not at the fee, and not at the wait for delivery, but at the account creation or identity-verification step that comes before either. An applicant who reaches that step without the right identifier stops there, regardless of how straightforward the underlying register search would otherwise be.
Which specific registers in United Kingdom impose this barrier, and which do not, is confirmed on a register-by-register basis rather than for the jurisdiction as a whole.
Route summary
The issuing authority, the official fee and the turnaround for each United Kingdom register are being confirmed against the primary source and are not stated here until that confirmation is complete. Records from United Kingdom registers are issued in English. Availability to a foreign applicant, and the reuse terms attached to a given extract, vary by register and are set out on the page for that specific record rather than on this jurisdiction page.
Which register holds company records in United Kingdom?
United Kingdom maintains a dedicated companies register that holds the incorporation record, the registered office, current officers and the filing history of each registered company. Land, charges, insolvency notices and beneficial ownership disclosures sit in separate registers rather than inside this same file.
Can a foreign applicant obtain documents from United Kingdom directly?
For some registers, yes, provided the applicant can identify the record and pay the fee. Others require a national identifier or an electronic signature the applicant may not hold, in which case the route runs through a licensed registered agent instead of the direct search interface.
What is not recorded in the United Kingdom registers?
No single register links a company, a property and a person together. Ownership stated through trusts or nominee layers may stop at the layer closest to United Kingdom. Private agreements never filed with a register, and unregistered land, do not appear at all.
Does a United Kingdom company search show who owns the company?
A company search shows who is stated to control the company under the beneficial ownership disclosure rules, by shareholding, voting rights, or the right to appoint directors. It shows a filed statement, not an independently verified ownership structure.
How is a United Kingdom company record used outside the country?
A receiving registry, bank or court abroad usually asks for a certified, recent copy in a recognised form, often with an apostille attached. The apostille certifies the signature and seal on the document, not the accuracy of its content.
Is land ownership in United Kingdom always shown on the register?
No. Not all land in United Kingdom is registered. Older holdings can remain outside the land register until a sale, a mortgage, or another transaction brings the title onto it for the first time. A blank search result does not confirm that no such land exists.
Tell us the jurisdiction and the record you are after; we return the route, the issuing authority and the limit before anything is ordered. If the document does not exist in this jurisdiction or cannot be obtained for you, we say so before you pay and we do not take the order.
REGISTRUM obtains and delivers official records issued by public registers and licensed registered agents. This page describes what those records contain and how they are obtained. It is not advice on the legal effect of any record. To order, write to info@registrumfirm.com.
