REGISTRUM

Court record copy in United Kingdom – official record

A court record or case file copy in United Kingdom reproduces the entries a court itself holds on a case, not a summary of the dispute or an opinion on its outcome. REGISTRUM confirms whether a certified copy exists for the case named, which court holds it, and the fee, before any order proceeds.

What this document shows

A court record / case file copy in United Kingdom typically opens with the case or claim reference under which the court holds the file, followed by the names of the parties as recorded on it. A search made on a party's name alone, without that reference, rarely returns a specific record, and that gap is the access barrier most often met by a party ordering from outside the United Kingdom.

Once the reference is confirmed, the copy carries the operative part of any order or judgment entered on the file, together with the date each entry was made. Some courts add a note of the current stage of the proceedings; others do not, and the content of a file varies by court and by case type rather than by a fixed national template. Where the court issues a certified United Kingdom extract of the record, the certification covers the copy itself, not the underlying facts of the case.

The file is arranged by the registry of the court that dealt with the matter, broadly in the order the documents were filed, from the claim or application through to the final order. A case that reached judgment carries the judgment as its last substantive entry; a case that settled or was withdrawn carries whatever order closed it instead. A United Kingdom company document, such as a certificate of incorporation, follows a standard form set by Companies House; a court record does not, because each court keeps its own file.

Where the case was heard under a claim number rather than a case number, the copy is filed and requested under that number as well; the format of the identifier depends on the type of proceeding, not on a single national scheme.

What it does not show

England and Wales, Scotland and Northern Ireland keep separate court systems, and a case file copy from a court in one of the three does not extend to proceedings in another, even where the parties are the same. A single case file copy answers for one case in one court and nothing beyond it.

The record does not show whether a judgment recorded on it has since been paid, enforced, or set aside; that status sits with the enforcement mechanism attached to the judgment, not with the file itself. It does not show whether the same parties appear on insolvency, land, or company registers, each of which is held and searched separately. Where a court does not issue a certified form of the file for a given case type, REGISTRUM says so before an order is placed, rather than supplying an uncertified copy under a certified heading.

A case file copy also does not show applications lodged after the copy was produced; it is a copy of the record as it stood on the day it was taken, not a live feed of the case. None of this is a comment on how a receiving authority abroad will treat the copy; that assessment belongs to the authority requesting it, not to the record itself.

The access regime for this register is being confirmed against the primary source, including whether a request made from outside the United Kingdom is treated differently from a request made locally.

How it is obtained

In the United Kingdom, the underlying case listing can often be checked without charge; what carries a fee is the step of asking the court to issue a copy of the file and, where available, to certify it. No entry key or account is needed to check whether a case listing exists; the barrier, where one exists, sits at the certification step rather than at the search itself.

The request begins with the case reference and the name of the court that holds the file. Once REGISTRUM has that reference, a licensed registered agent in the jurisdiction checks whether a certified form is issued for that case type and confirms the court's own fee for producing it. Because England and Wales, Scotland and Northern Ireland run separate court administrations, the agent instructed depends on which of the three heard the case. That check comes before any payment is asked of the client, not after. The official fee and the date on which it was verified are stated to the client together, and no fee is quoted from memory on this page.

On the day the request is lodged, the court registry records it against the file and, where the file is held in archive rather than in the current registry, retrieves it first. The turnaround therefore runs in two parts: retrieval of the file, then production of the copy. Both parts are confirmed for the specific court before a timeline is quoted. A file closed some years ago commonly takes longer to retrieve than a live one, and the agent reports which case applies.

The language of issue is English throughout the United Kingdom. Where the receiving party abroad works in another language, a certified translation is ordered as an add-on after the copy is produced, not before. A foreign applicant does not need a national identifier or a local electronic signature for this route; the barrier sits with the case reference and the certification step. Reuse is per document: the copy is supplied for the use stated at the time of order, and a further use calls for a fresh copy. Where an apostille is then added, it certifies the signature and seal of the certifying officer, not the truth of the content.

Price and timeline

Price on request. The fee is quoted once the court, the availability of a certified form and the court's own charge have been confirmed against the primary source, and before any payment is taken. Apostille, certified translation, courier delivery and rush handling are available as add-ons, each confirmed as a separate line when selected. If the document does not exist in this jurisdiction or cannot be obtained for you, we say so before you pay and we do not take the order.

How long does a court record / case file copy from United Kingdom take?

The timeline runs from the day the case reference is confirmed, not from the day the enquiry is first made. Retrieval of the file comes first, then production and certification of the copy, then any apostille or courier step. Each part is confirmed for the specific court before a date is quoted. REGISTRUM does not state a single figure for every court, because the courts do not work to one.

Will a United Kingdom document be accepted abroad without an apostille?

Acceptance is decided by the receiving party, not by REGISTRUM. Many foreign courts, registrars and banks ask for an apostille on a United Kingdom court record before accepting it; some accept a certified copy alone. The apostille certifies the signature and seal of the certifying officer, not the truth of the content. REGISTRUM confirms whether the step is available for the copy in hand and adds it on request.

What does a court record / case file copy in United Kingdom not show?

It does not show whether a judgment has since been paid, enforced or set aside, and it does not show proceedings in a different court or a different part of the United Kingdom. It does not show insolvency, land or company entries, which sit on separate registers. It is a copy of the file as it stood on the day the copy was taken, nothing later.

Can REGISTRUM obtain the case reference from a party name alone?

A party name alone is a weak key for a court record / case file copy United Kingdom courts hold. Some court listings can be searched by name without charge, and REGISTRUM checks those first. Where a name returns several matches or none, the reference has to come from the client, a court order or a previous filing. REGISTRUM reports what the open listing shows before any paid step is taken.

Is a court record the same as a United Kingdom company document?

No. A United Kingdom company document, such as a certified United Kingdom extract from the companies register, follows a fixed form and is ordered by company number. A court record is held by the court that heard the case and follows that court's own file. The two are ordered separately, and one does not reproduce the other, even where the same company appears in both.

State the entity, the jurisdiction and the date you need it by; we confirm availability and the fee before you pay.
